How to Request and Manage 360-Rater Feedback
During an active review cycle, it can be tremendously beneficial to receive feedback from other employees who work closely with your direct reports.
To learn more about assigning 360-raters to your direct reports' reviews, you can follow the video or the written steps provided below!
In order to assign 360-raters to an employee's review, the review will need to be in Scoring. From the Direct Reports section of your dashboard, select the Score Review button to enter the employee's review.
👋 If you are an Administrator, you do not need to proxy in as a Manager! You can simply navigate to the employee's review and follow the steps to add raters to that employee's review.
In the review, you'll notice a 360-Rater Feedback tab in addition to the regular review tabs. Selecting into this tab will take you to where you can add and assign the 360-raters.
To add in the raters you would like to provide feedback on this employee, click into the select 360-Raters field. This will provide a list of all active employees within your company's Trakstar account. You can select one or multiple employees to assign. Once you have selected the employees, select the built-in 360-Rater Feedback Group from the dropdown or create a new group.
Has the employee suggested the 360-raters they want to add? To add the employee's suggested raters, select the rater group they should be placed in then click Add:
Before saving and sending out these requests, you also have the ability to edit the 360-Rater Group. To access this, select the Edit button located to the right of the group name.
This will populate a box with a few options you can adjust. Towards the top, you have the ability to change the group name. This is commonly used if there are multiple groups being assigned and you'd like to differentiate more specifically between them.
You can also select the anonymous feedback box if you'd like to hide the names of the 360-raters. This means that you won't be able to determine who left what feedback, and they will all be listed as Anonymous Reviewer.
You can provide manager instructions for the raters to view when they receive the 360-Rater Request email, and you can select if you want certain elements to not be included for the raters using the drop-down at the bottom.
Once you've completed these group edits, you can select Apply in the bottom-righthand corner.
You're now ready to submit those requests so that the raters can get started on their feedback! Once you select the Save 360-Raters button in the bottom-right corner, the requests will send immediately, triggering an email to each of the raters to let them know they need to provide feedback.
To manage the 360-Raters at any time after they've been submitted, you can return to the 360-Rater Feedback tab of your employee's review. Here, you'll be able to view the status of this feedback, such as a green checkmark next to a rater's name who has successfully submitted their responses.
If someone has already submitted their feedback, you can select View next to their row. You can also select Re-Request if you'd like to re-open that request for the rater to provide more details.
You will also be able to see if someone has declined to provide feedback or if there are any outstanding raters (these carry the yellow circle emblem).
Lastly, you can remove raters or add new raters at any time, even if you've already requested feedback from a few raters!
