Overview of the Trakstar Review Cycle

Mitratech’s Trakstar Perform helps you and your team track progress throughout the year, culminating in a review. This guide explains the key stages of the Review Cycle so you can plan to launch your site with your company effectively.

1. Goals and Notes

Goals and Notes is where employees will spend most of the year.

  • Employees can:
    • Add additional goals if their roles change.
    • Edit existing goals.
    • Add measurements to track progress (if this feature is enabled).

      Employees and managers can take notes on progress throughout the year.

    • Notes can be private or visible to one another.
    • Notes can include achievements, internal or external feedback, or other performance-related details.



2. Scoring

Scoring begins when the review opens for completion.

  • During scoring:
    • Employees complete their self-evaluations.
    • 360-raters provide feedback (if this feature is enabled).
    • Managers complete the manager review.
  • Scoring is only available for a set period of time.

    Reviews may include:

    • Rateable competencies.
    • Goals.
    • Open-ended questions (depending on your form design).
  • The scoring schedule is set during implementation.

📅 Note: Once the scoring period closes, no new feedback can be submitted unless reopened by an administrator.


3. Approving

Once all parties complete their reviews:

  • The manager sends the evaluation along the approval pathway you set up.

    The pathway can include:

    • The manager’s manager.
    • HR.
    • The CEO.
    • Anyone else who needs to formally approve the appraisal before it is returned to the direct manager for discussion with the employee.
  • Administrators have full visibility over all reviews during the cycle.

4. Approval Complete / Archive

After the employee and manager meet to discuss the evaluation:

  • The manager sends the review to the employee for acknowledgement.
    • Acknowledgement acts as a virtual signature.
    • It is date-stamped and includes all approvers.

      Once acknowledged:

    • The review is archived.
    • The manager, employee, and administrator can access it anytime for reference.
