Using the Goals List (Admin Guide)


The Goals list gives admins a single place to see and manage goals across the organization. This article walks through what you'll see, how to find what you need, and how to create, assign, and manage goals - including what's different for Admins compared to a regular manager view.



What you'll see on the Goals page

The Goals page shows goals in a table, one goal per row. At the top is the page title with a count of total goals, and a Create a goal button.

As an Admin, you can open this view directly from your navigation — you don't need to "proxy in" as a manager to see it. Your view is built for broad oversight across the organization, not just one team.

Columns you'll see:

Column What it shows
Goal The goal's name, with a small label underneath showing when it was last updated (e.g. "Updated today")
Assignee Who the goal belongs to
Manager Who manages that person (Admins see this column by default — it isn't shown in a standard manager view)
Due Date When it's due, plus the review cycle it belongs to
Progress A progress bar and percentage, with status underneath
# Subgoal How many subgoals the goal has
Tags Labels used to categorize the goal
⋮ (actions) A menu of actions you can take on that goal

At the bottom of the list, "Total rows" tells you how many goals are in the list overall — this updates as you apply filters, so it's a quick way to tell whether a filter is hiding something.



Finding and filtering goals

There are several ways to narrow the list down, and they all work together.

Search: Type in the search box to match by goal title, employee name, tag, and more.

Toolbar filters:

  • Manager — narrow by one or more managers. Pick just one and their name shows in the filter; pick several and it shows a count instead.
  • Status — pick one or more statuses, grouped into Open (On track, At risk, On hold) and Closed (Incomplete, Complete, Canceled). The button shows a count once statuses are applied (e.g. "Status (3)").
  • More filters — opens the full Filter & Sort drawer with everything in one place.

The Filter & Sort drawer includes:

  • Column sort (e.g. by due date)

  • Quick filters - Assigned to (my team, myself, unassigned) and status (on track, at risk, on hold, incomplete, complete, and canceled).

  • Detailed filters (More Filters) - Manager, Status, Tags, Review, Review state, and due date range, all multi-select
  • Reset to clear everything, Apply to apply your choices

Click the X on a filter selection, or re-select it in the menu, to remove it.

Seeing what's applied: Once filters are active, you'll see either filter chips below the toolbar (each with an X to remove it, and a Reset filters link if there are many) or count badges on the Status / More filters buttons (with a Clear filters link). Either way, it's always clear that something is narrowing the list.

💡 Support tip: If someone says they "can't find" a goal, check for filter chips or count badges first — an active filter is the most common cause. The "Total rows" count is a quick sanity check: if it looks lower than expected, filters are likely applied.


Understanding status

Status tells you where a goal stands. A goal that hasn't been set yet shows "Set status."

Open statuses: On track, At risk (shown in red), On hold (shown in amber) Closed statuses: Complete (shown in green with a checkmark), Incomplete, Canceled

To set or change a status, open the status control on the goal's row and pick one — only one status applies at a time. To clear a status, select the one that's already applied; this returns the goal to "Set status" without changing its progress percentage.

💡 Support tip: A goal can show a progress percentage and still have no status - they're tracked separately. If someone wants the colored status label, it needs to be set explicitly.



Progress and metrics

Each goal shows a progress bar and percentage. Hovering over it shows more detail — usually the current value and the target value (e.g. "Current $2,250 / Target $78,000").

Some goals are tracked as simple Complete / Incomplete rather than a number. These don't show a percentage — hovering explains that progress isn't measured that way for this goal.

💡 Support tip: "Why doesn't this goal show a percentage?" usually means it's a Complete/Incomplete goal rather than a measurable one.


The "Updated..." label

Under each goal's name is a label showing how recently it changed - any update to progress, status, title, description, metric, or assignee counts. It ranges from "Updated today" up through "Updated over a year ago." If a goal has never been edited since it was created, no label shows at all - that's expected, not a bug.


Tags

Tags categorize goals (e.g. "Strategic," "Cross-functional"). They appear as chips in the Tags column in alphabetical order. If a goal has more than three tags, a "+N" badge appears - hover it to see the full list.

To find every goal with a specific tag, use the Tags filter in the Filter & Sort drawer rather than scanning the column - it's searchable and shows a count of how many goals use each tag.

The list of available tags is maintained separately through a Manage Tags drawer, where you can search tags and edit or delete them. Changes here affect the tag everywhere it's used.


How to edit tags:

  1. Click the three dots at the end of the goal
  2. Click Edit tags.

  1. Click the chevron to see what tags are available and to manage or add new tags.

💡 Support tip: If someone can't find a tag while creating a goal, it may not exist yet - tags are managed centrally through Manage Tags, not created on the fly.


Subgoals

A goal can be broken into subgoals - smaller goals that ladder up to it (previously called "Measurements"). Click the chevron at the start of a goal's row to expand and see its subgoals, listed in order of due date. Each shows its own name, due date, and progress/status.

If a goal has no subgoals, its expander arrow is inactive - hovering shows a tooltip explaining that none have been added yet.

On a subgoal's own menu you'll find: View details, Update progress, and Delete subgoal - a shorter list than what's available on a full goal.

💡 Support tip: If someone expects subgoals but sees none, check that the "# Subgoal" count is above zero. If it's zero, the row won't expand - that's expected.


Scrolling and window size

When there are more goals or columns than fit on screen, the table scrolls. Column headers and the toolbar stay fixed as you scroll down. If the window is too narrow to show every column, scroll sideways to reach Tags and the actions menu — the goal name stays visible on the left.

On narrower windows (around 900px), the layout compresses and fewer columns show at once, but all the same information is still there via horizontal scrolling.

💡 Support tip: "The layout looks different" or "a column is missing" is usually just responsive resizing. Maximizing the window, or scrolling sideways, typically resolves it.


Customizing columns

You can sort, resize, hide, reorder, and pin columns two ways - from a column header, or from Column Settings - and changes in one place show up in the other.

From a column header: Hover to reveal a menu with Sort A–Z / Sort Z–A and Hide column, plus a resize handle at the column's edge.

From Column Settings:

  • Show/hide any column with its toggle
  • Reorder by dragging the handle on the left of each row
  • Pin a column left or right so it stays visible while scrolling sideways (remove a left pin with the X)
  • Reset columns to restore the default layout
  • Apply to save, Cancel to discard

💡 Support tip: A "disappeared" column has almost always been hidden — turn it back on in Column Settings, or use Reset columns. If columns seem "stuck" while scrolling, that's pinning working as intended. Note that column pinning may depend on your plan/tier.


Restricted Admins

A Restricted Admin has limited editing reach. By default, they see all goals - including goals belonging to other teams - but can only act on the ones within their own team.

For any goal outside their team:

  • The row shows a "View only" tag
  • In the menu, only View details is available — other actions are greyed out

To help tell these apart, a Restricted Admin's people filter includes an extra "Other teams" option alongside My team, Myself, and Unassigned.

💡 Support tip: If a Restricted Admin reports that "Assign" or "Change due date" is greyed out, that's expected for goals outside their team — look for the "View only" tag. It isn't a bug; it's intentional.


Creating a goal


Click Create a goal (top-right of the page) to open the Create a goal drawer.

Every drawer includes:

  • Goal title* - required
  • Description - optional, with basic rich-text formatting
  • Tags - optional, multi-select
  • Rating scale* - required; sets how the goal will be scored
  • Cancel / Save - Save stays disabled until required fields are filled in

Once a rating scale is chosen, the drawer expands to show each rating level with an editable description. Customizing a level's wording here only affects this goal — it won't change the shared scale or any other goal using it.

As an Admin, your drawer has no Review field - that's only shown when an employee creates their own goal. After saving, you'll see: "A new goal has been created! Next, assign the goal to employees." - a reminder that a newly created goal still needs to be assigned to the people it's for.


💡 Support tip: If Save stays greyed out, a required field is empty - check Goal title and Rating scale. If a manager or admin creates a goal and no one sees it, that's expected — remind them to assign it.


Adding a subgoal

From a goal's menu, choose Add subgoal to open a drawer titled "Add subgoal," showing the parent goal's name so it's clear what it belongs to.

Fields:

  • Subgoal title* — required
  • Add description — optional
  • How will you measure progress? — pick a metric type (see below)
  • Due date — optional

Measurement types:

Button Type What it shows
✓ / ✗ Complete/Incomplete No value fields — just marked done or not
$ Currency Currency selector plus Start, Target*, Current
# Number Start, Target*, Current (plain numbers)
% Percentage Start, Target*, Current (Target defaults to 100%)

For any measurable type, Target is required; Start and Current are optional. Choosing Complete/Incomplete removes the value fields entirely.


💡 Support tip: If there's no place to enter a number or percentage, the subgoal is likely set to Complete/Incomplete - switch to $, #, or % to reveal the value fields. If Save is greyed out, check for an empty Subgoal title or, on a measurable subgoal, an empty Target.


Copying a goal

From a goal's menu, choose Make a copy — available on both assigned and unassigned goals. This opens the same Create-a-goal drawer, pre-filled from the original:

  • Goal title carries over with a "Copy: " prefix
  • Description, Tags, Rating scale, and rating-level descriptions all carry over

Edit anything that should differ, then Save.

Important: a copy is an independent new goal - it is not linked to the original, and it starts out unassigned even if the original was assigned. It still needs to be assigned to people.

💡 Support tip: If a copied goal doesn't reach the right people, the fix is to assign it - the success message after saving says as much.


Assigning a goal to many people at once (bulk assign)

Rather than assigning a goal to each person one at a time, you can hand out copies to a whole group in one pass. (This was previously called "Cascade.") Each assigned person gets their own independent copy.

Starting an assignment:

  • From a goal's menu, choose Assign, or

  • On an unassigned goal's row, hover over the assignee spot, click the inline Assign link

Choose a method in the "Assign goal copy" dialog:

  • Assign to the same review cycle (marked Most common) - pick employees and assign into the same review cycle; the system adds it to their existing open review or creates a new one
  • Search and assign to open reviews (formerly Cascade) - filter across employees with varying open reviews using criteria like process, review state, or hire date

On the Assign Goal screen, you'll find a search box, an Employee Group filter, a More filters button (Review state, Process, Hired date, and more), and a table of employees with checkboxes. Tick who should receive the goal, then click Assign goal (disabled until at least one person is selected).

After assigning, a confirmation shows how many employees received the goal and notes that each will get their own copy and be notified. You can edit and individualize any assignee's copy afterward - from the goals list or via their review.

💡 Support tip: Each assignment is an independent copy - editing one doesn't affect anyone else's. If expected people don't show up in the table, check the More filters count badge and Employee Group filter, and use Reset filters.
